Private school management software for small schools.

SchoolOpEx runs a small private school’s admissions, attendance, report cards, tuition and family messages in one app that the office, teachers and parents all use. Every feature is in every plan, from $57 a month for up to 50 students.

What changes for your office, teachers and families.

A small private school often runs on a student system, a payment app, a form builder, a group chat and spreadsheets. SchoolOpEx puts it in one place, with one record for each family.

The head of school’s morning, on one screen.

Today shows which classes have taken attendance, concerns teachers have raised, who is covering for whom and the decisions waiting on you, on a laptop or a phone.

  • Attendance by class as it comes in
  • Concerns ready to review
  • Decisions with one clear button
The head of school’s Today screen: 14 of 18 classes have attendance, one open concern, who is covering for whom, and two decisions waiting.
Today on a phone: 77 students, 53 households, 17 staff and 18 classes, and two things that need the head of school: a concern to review and a club with no teacher.

Admissions and enrollment, without the paper.

Families inquire, tour, apply and sign enrollment forms on a phone. The office moves each family along one board and makes waitlist offers when a spot opens, and everything a family filled in becomes its record.

  • Applications and enrollment forms
  • Signatures on any phone
  • Open spots and waitlist offers by grade

  • Reminders before and after the due date
  • Checks and cash logged by the office

Attendance, pickup and the health details that matter.

Teachers take attendance in a few taps, with allergies and health plans beside each name. The office keeps health records and the medication log, knows who is picking up, and has the emergency roster ready for drills.

Questions private schools ask

What does a school of 120 students pay?

$197 a month, or $1,597 a year on the Up to 300 students plan, plus any sales tax. A school of up to 100 students pays $97 a month or $797 a year.

Can families pay tuition on a payment plan?

Yes. Families can pay in full, on autopay or on a payment plan, by bank transfer or card, and the money goes straight into your school’s own account.

Do you keep health records and a medication log?

Yes. Health records, allergies and the medication log are part of every plan, and allergies and health plans show beside each name on a teacher’s roster.

How do report cards work?

They fill in from the gradebook. Teachers grade through the term, and at the end you review each report card and send it to families.

Can we move in during the school year?

Yes. We bring over families, students, staff and classes from a spreadsheet or your current system’s export, nothing is saved until you approve the preview, and families hear nothing until you invite them.

We also supervise some homeschool families. Can we keep their records?

Yes. Homeschool records are an option a school can turn on for the families it supervises, in the same app as the rest of the school.

When can we start?
